LAWFUL BASIS FOR PROCESSING YOUR DATA
Your data is processed on the grounds of a contract between us; by contacting me and submitting a translation enquiry, or by providing documents, asking for an estimate or asking me to proceed with your language/ translation work, you agree for your personal data to be processed as part of a contract in order for me to provide the service you have requested. Your data is processed only for the intended use we have agreed on, i.e. the purpose of providing a translation/ any other relevant language-related service.
IS MY DATA SHARED?
Your data will never be shared with anyone else, nor sold or given to any advertisers or third parties. However, please note that should your data be specifically requested through a legal process for law enforcement purposes, I may have an obligation to share it.
WHICH TYPE OF DATA DO YOU PROCESS AND FOR HOW LONG IS IT KEPT?
I process your contact information (name, title, address, email, telephone, etc.), invoicing details, as well as the data provided in the documents you have supplied for translation. If you have contacted me for an enquiry but have decided not to use my services, all your data will be destroyed within 30 days. If you have chosen to use my services, I will need to keep your contact and invoicing details (for example as appearing on invoices: name and email address, etc.), as well as the translations and source documents you have provided in order to satisfy accounting and tax control purposes, certification requirements, and as evidence in case of any legal challenge that may arise. As a consequence, your data, i.e. your personal details and documents, will be kept for a duration of six years after which they will be deleted.
CAN I ACCESS THE DATA YOU HOLD ABOUT ME?
You have a right to access the data held about you. You normally know which data I hold for you (as you would have provided it yourself), however, please contact me for any enquiry at email@example.com if you have any question. I am the data controller for Magpie Languages and as stated by the legislation, I will reply to your access request within 28 calendar days.
RIGHT OF ERASURE
You have the right to ask for the data held about you to be erased. As long as it complies with the legal obligations I fall under, I will of course delete it.
HOW DO YOU SAFEGUARD THE CONFIDENTIALITY OF THE DATA I HAVE ENTRUSTED?
Any physical copy I have printed of your data, including documents or their translations, is systematically shredded and safely disposed of. I operate a clear desk policy at the end of each working day and keep all documents and portable hard drives secured in my office cabinets or in my safe, so that your data is kept secure and confidential. Cyber safety: I have up to date antivirus software and I service my PC regularly. I use the Microsoft Office suite with Outlook for emails, Google Drive, and Zoho for my accounting, and all have satisfied GDPR compliance requirements. I do not share any of my passwords and I change them regularly. I back up all the data on hard drive regularly as a safety measure against loss of data.
WHAT CAN I DO IF I THINK MY DATA HAS NOT BEEN APPROPRIATELY HANDLED?
You have the right to complain to the Information Commissioner’s Office (ICO) if you think a data breach has occurred.
